Surveys

A survey is a live deployment of a questionnaire to a defined group of respondents. Surveys manage everything from invitations and anonymity through to analysis and reporting.

Creating a Survey

Go to Surveys > New. You will be prompted to:

  1. Select an approved questionnaire
  2. Set the survey name and target launch and close dates
  3. Configure anonymity thresholds — responses from segments below the threshold will be suppressed to protect respondent identity
  4. Choose whether results are visible to client reviewers

Survey Dashboard

Once the survey is live, the Dashboard tab shows real-time progress: total responses received, completion rate by department and team, and how you are tracking against your response target. Use this view to decide when to send reminders.

Responses

The Responses tab lists individual response records. You can flag responses for follow-up, filter by status, and export raw data as CSV for use in external tools.

Analysis

The Analysis tab surfaces key findings automatically: the highest and lowest scoring items, score distributions across the org structure, and AI-detected themes from open-text responses. Filter results by any demographic segment defined in the org structure.

Report

Generate a formatted report from the Report tab. Choose which sections to include, add commentary, and export as PDF. Reports are suitable for sharing directly with clients or presenting to leadership.

Invitations

The Invitations tab shows who has been invited and the status of their invitation. From here you can send or resend invitation emails to individuals or groups who have not yet responded.

Respondent Links

When an invitation is sent, the platform generates a unique, single-use survey link for each respondent. Respondents do not need a platform account — they follow their link to a clean, unauthenticated survey form. Once a response is submitted the link cannot be reused.

Links take one of the following forms depending on how the survey is configured and the invitation channel used:

  • /survey/[token] — the standard response page used for most email invitations
  • /respond/[token] — an alternative response route used by some invitation channels
  • /portal/[projectId]/[token] — a branded portal entry point used for panel-based deployments

Previewing the survey — navigate to /survey/preview/[campaignId] to see exactly what respondents will see before you launch. Preview mode requires you to be signed in and does not record a response.

Panel

Manage the participant list in the Panel tab. Import participants from CSV or select from the client's org structure. You can filter and segment the panel before launch to target specific populations.

Communications

The Communications tab lets you schedule reminder emails and manage the full communication plan for the survey. Set up a sequence of reminders to maximise response rates without manual follow-up.

Every invitation and reminder ends with a line saying who sent it and why, and a Stop emails about this survey link. Someone who uses it gets no more emails or Teams reminders about this survey, and shows as Opted out on the Invitations tab. Their survey link still works, and if they finish the survey they show as Completed. Other surveys are not affected: a new survey is a new invitation.

If an address bounces permanently, or someone marks a survey email as spam, Pindrop stops emailing that address for every survey and shows the invitation as Bounced or Opted out. Correcting a misspelt address gives a new address that can be invited again. The Stop emails about this survey page also lets someone say the email was unexpected or looked suspicious, and every survey page has a Report this survey link that does the same.

Each workspace can send a set number of survey emails a month (invitations, reminders and project emails). The invitation and reminder dialogs show how many are used and when the allowance resets on the 1st. Teams messages and anonymous links do not count. If a send needs more than is left, Pindrop says so before sending anything; reminders go to as many people as the allowance covers. Administrators can see the figure under Admin → Subscription, and upgrade there.

If a workspace's survey emails bounce or draw spam complaints at a high rate, Pindrop pauses its survey email and says so on the Invitations tab. Teams messages and anonymous links still work. Contact us to resume: we will look at what went wrong with you, usually an out-of-date address list.

Improve

The Improve tab is where results turn into action: start an action plan from a workshop or from a finding, and set a date to review progress. It is not a kanban of follow-up tasks. The next listening cycle should be able to see whether this promise was kept.

The survey tab is not the only door. An imported Analysis (Improve step) and Plotlines (when used) start the same kind of action plan.

Close the loop on Improve assembles an employee-facing you-said / we-did note from those action plans. Export it into their comms. Publishing is what records that the earlier survey has been followed up.

Next Steps

The Next Steps tab provides a guided checklist of actions to take after the survey closes. It shows the current response count, how many action plans and presentations have been created, and whether an analysis has been linked. Use this tab as your post-survey checklist to ensure every engagement is properly closed out.

Settings

The Settings tab lets you configure survey-level options including anonymity thresholds, display labels, and any platform-specific settings. Settings can be edited while the survey is in Draft, Panel ready, Running, or Paused status — some options become read-only once the survey is closed.
