Terms of use
The agreement for using Pindrop at employeeexperience.ai.

1. The agreement
These terms are between PEOPLE WORK LIFE LIMITED (Companies House 16547876; registered office 26 Cromwell Road, Ascot, England, SL5 9DG) and the organisation or person who creates a Pindrop workspace (“you”).
Pindrop is the employee-listening service at employeeexperience.ai. By creating an account or using the service, you agree to these terms and to the Privacy policy.
If you use Pindrop for a client, you remain responsible to us. Your client agreements are yours.
2. The service
Pindrop provides tools to design listening strategies, build questionnaires (including with AI), run pulse and census surveys, analyse results, export PowerPoint and PDF reports, and — on some plans — share client portals and run a Microsoft Teams bot for invitations and reminders.
We will use reasonable care to keep the service available. We do not promise a particular uptime, and we do not promise that AI-generated questions, themes, or slides will be accurate or fit for a regulated decision without your review.
Surveys are answered on a public token link. Employees are not Pindrop users. You are responsible for what you put on that link.
3. Accounts and security
You must provide accurate account details and keep login details, passkeys, and two-factor devices safe. You are responsible for activity under your workspace, including CLIENT users you invite.
Tell us promptly at rob@peopleworklife.com if you think an account is compromised.
We may suspend access if we reasonably believe the workspace is being used to break the law, to harm respondents, or to attack the service.
4. Plans, trial, and payment
Published plans on 21 August 2026:

Prices are in pounds sterling and exclude VAT unless we say otherwise.
Every plan includes a 14-day trial of Professional. No card is required to start the trial. When the trial ends, paid features end unless you buy a plan. There is no founding discount. The price you see on the site at purchase is the price.
Paid plans are billed through Stripe.
If you buy a paid plan, you authorise recurring charges until you cancel. Annual plans are billed in advance. Unused time is not refunded unless UK law requires it. We may change prices on 30 days' notice; the new price applies at the next renewal.
5. Your responsibilities
You must:
- Have a lawful basis for surveying the people you invite, and give them a privacy notice that is yours, not ours
- Not use Pindrop to make solely automated decisions that produce legal or similarly significant effects about an employee without human review
- Set anonymity thresholds that fit the group you are surveying (the product default is 5), and not try to re-identify respondents
- Not upload special-category data unless you have a lawful basis and have told us what you need
- Keep respondent comments and exports inside your organisation's rules
- Comply with Microsoft's terms when you install the Teams bot in a tenant you do not own — including any admin consent that tenant requires
You grant us a limited licence to host, process, and display the content you submit, solely to provide the service.
6. Respondents
Respondents are not parties to these terms. They are not Pindrop users. Their answers belong to the customer organisation that ran the survey, subject to the Privacy policy.
If you are a respondent and you want your answers changed or deleted, contact the organisation that invited you.
7. The Teams bot
The bot is personal-scope. It can send invitations and reminders as Teams chats, with email as fallback if Teams delivery fails. Answering inside a Teams card is not the main path. Anonymous in-card answering is gated off. Installing the bot in a client tenant is your act. We do not claim that Microsoft has certified or endorsed Pindrop beyond the ordinary Teams/Entra mechanisms we use.
8. Acceptable use
You must not use Pindrop to send unlawful or deceptive surveys, to harass people, to collect data about children, to probe other tenants, or to overload the service. You must not resell the service except on a Practice or Enterprise plan that expressly allows client workspaces.
9. Intellectual property
We own Pindrop, including the software, design, and documentation. You own your questionnaires, survey data, and the reports you generate. The EX Institute owns its own marks, Body of Knowledge, and credentials. Recognition of Pindrop as a practice platform does not give you those rights, and these terms do not enrol anyone on an Institute programme.
10. Confidentiality
Each side will keep the other's non-public information confidential and use it only to perform this agreement, except where disclosure is required by law.
11. Data protection
The Privacy policy explains roles. For respondent data we are your processor. These terms do not include a separate data-processing schedule.
12. AI features
AI output can be wrong, incomplete, or too confident. You must review questionnaire items, themes, and generated slides before they go to employees or a board. We do not warrant fitness for a particular People & Culture, legal, or clinical purpose.
13. Liability
Nothing in these terms limits liability that UK law does not allow us to limit (including death or personal injury caused by negligence, or fraud).
Subject to that, we are not liable for loss of profit, goodwill, or indirect loss, or for decisions you make from survey results or AI output.
14. Term and close-down
These terms start when you first use the service and continue until the workspace is closed. You may close a workspace by asking us at rob@peopleworklife.com if the product does not yet provide a self-serve close. After closure we will delete or return respondent data as set out in the Privacy policy: deleted from the live database within 30 days of the customer deleting the campaign or closing the workspace; backups no more than 90 days.
We may stop the service on reasonable notice if we cannot keep running it.
15. Changes
We may update these terms. Material changes will be posted on /terms and, for paying customers, notified to the account email. Continued use after the effective date is acceptance. If you do not agree, stop using the service and close the workspace.
16. Law
These terms are governed by the law of England and Wales. The courts of England and Wales have exclusive jurisdiction, except that we may still seek an injunction anywhere.
