People directory

The People directory is one organisation's standing record of the people who can be invited to take part: name, work email, and work details such as job title, department, location, unit and manager. Every survey can choose its participants from it, so nobody uploads the same workforce twice. It never shows anyone's answers, scores or whether a named person responded.

Open an organisation and choose People. Directory lists its people; Structure shows its units with a head count; Changes shows what has changed.

Importing and updating

Import a file takes a CSV or Excel export from an HR system or a spreadsheet. Match the columns once (the choices are remembered), review what the file would do, then confirm. A file can be everyone (people not in it are proposed as having left) or changes only. Nobody is ever deleted by an import. Columns that look sensitive are refused.

Add or edit one person from the Directory tab. Mark someone as having left rather than removing them: they are kept, never offered to a new survey, and their details are removed automatically after the retention period. An administrator can remove a person for good, export the Directory, or delete it.

Changes

The Changes tab answers who joined, left or returned, moved unit or changed manager between two dates, and which work details changed. It opens on the window since the import before the latest one. Each change says where it came from: the file that was imported, or the staff member who made it by hand. Choose a kind of change or a unit to narrow the list, and widen the dates to look further back. Administrators can export the list as a CSV file.

Open any person to see their own history at the foot of their details.

The history holds nothing that identifies anyone beyond the person it belongs to: units and managers are recorded by reference, work details by their old and new values, and when an email address or a name changes, only the fact that it changed is kept.

Surveys and the directory

On a survey's Participants page, choose participants from the directory: everyone who is active, or part of the organisation by unit, department, location or a manager's line. The survey takes its own copy, which stays as it was after launch whatever changes in the directory.

A list that was uploaded as a file can be recognised in the directory in one step: each person on it who matches exactly one person in the directory (by employee ID, else by work email) is linked. Nothing about anyone changes, and it can be undone. Lists uploaded after the directory exists are recognised as they are uploaded.

Comparing the same people between surveys

Where both surveys' participants are linked to the directory, the Trend tab of a survey's results offers Everyone and Same people. Same people compares only those who answered both surveys, so a change in who was asked is not read as a change in what people think. The comparison is shown only when the matched group, and the rest of each survey, are above the survey's anonymity threshold; otherwise it says the group is too small. It is always a group result. There is no view of one person's answers across surveys.

Manager dashboard links

A manager's dashboard link is keyed to the person, not to one survey. When the next survey's dashboard is ready, Carry manager links from the previous survey mints an equivalent link for every manager still on the new survey, so nobody chooses the managers again. Each survey's link is still its own.
